SORCA Director Positions Up for Grabs

A reminder to our membership that all positions will be up for grabs at the annual general meeting on January 11th at Sea-to-Sky Hotel, 7pm.

Below is a list of a few of the positions on the exec. Additional position descriptions will be added later

Responsibilities of the Membership Director :

  • to keep contact with web registration provider (CCN this year)
  • be familiar with registration process
  • answer member questions about registration,”how to’s”, etc.. via email
  • compose a list of current registered members
  • update membership list weekly
  • email XC, DH and Social directors a day or two before each ride with updated members info
  • get waivers printed and ensure XC, DH and Social directors have copies of waivers
  • keep track of signed waivers
  • be available to assist XC, DH and Social directors (especially at the beginning of the season) with ride sign in’s as needed
  • be available to assist with other SORCA related events to assist with sign in’s
  • hand out “Husky” cards to members at rides and events

Responsibilities of the Social Director

  • plan 10 events in close collaboration with the DH Race Director
  • find hosts and sponsors( if possible) for each events together with DH Director
  • plan a ride course
  • assist host – help with menu planning, food pick up and clean up, if necessary
  • advertise the ride by sending a synopsis to the Chief, SORCA website and Bike Squamish
  • print member list and waivers before event to bring to sign up
  • supervise sign up and collect twoonies
  • organize a sweep and other ride leader, to have a fast group and a slow group.
  • have fun
  • attend monthly meeting and turn your brain on once in a while

Responsibilities of the Media Director

  • Web Communications
    • managing sorca.ca
    • managing sorca exec emails
    • training execs on website usage
    • tech support for WordPress website
    • posting announcements on SORCA Facebook page
    • answer emails sent to info@sorca.ca or redirect inquiries to relevant exec
  • Newsletter Communications
    • training execs on newsletter app usage
    • sending out weekly newsletters to members before upcoming Toonie rides
    • sending out periodic announces on events and news
  • Media Communications
    • send weekly ride details & sponsor logos to The Chief (deadlines before 5pm Tuesdays)
    • send information about club to any media outlets asking for more info

Responsibilities of the Secretary

  • Be present at monthly exec meetings to take the minutes

Responsibilities of the Volunteer Coordinator

  • Organize volunteers for Toonie and Social rides.
  • Manage volunteer list.
  • Organize end of season volunteer appreciation party.
  • Assist other exec positions where needed.

Responsibilities of the XC Toonie Director

  • Secure sponsors at Sponsor meeting held mid February
  • Receive logos from sponsors and send to Media director to have them placed on website
  • Answer general questions from sponsors regarding their role, responsibility and benefits of sponsoring
  • Organize 13 XC Toonies working closely with the sponsors to arrange a course (sponsor’s choice at the discretion of the toonie director), must be received no later than Tuesday afternoon in the week prior to Toonie
  • Send course details to Media Director to post – Sorca’s website, in the Sorca newsletter and The Chief. Also posts should go on Facebook’s various sites – Sorca, Bike Squamish, Mountain Biking Mama’s, etc
  • Arrange volunteer marshals and sweeps (or ensure Volley coordinator is doing this).
  • Arrange pick up or drop off of directional flags to sponsor no later than 24 hours prior to toonie, sponsor flags course.
  • Receive list of members with emergency contact details from Membership Director
  • Update new members onto Ipod for timing system
  • Sign in riders at toonie and collect cash – to be given to Treasurer
  • Ensure all riders have signed liability waiver
  • Set up finish line – works best to corral riders uphill, and they love you for it
  • Time toonie
  • Upload toonie results on Sorca’s website
  • Send volunteer list to volunteer coordinator
  • Repeat 12 more times
  • Order year end medals/trophies and hand out at year end XC toonie party
  • Partake in general Sorca Exec duties

Responsibilities of the Government Liaison

  • Phone and meet with the provincial Recreation Officer from time to time
  • Phone andr meet with the District of Squamish Trail representative from time to time
  • Meet with the Squamish Nation from time to time
  • Field calls and emails from other clubs to discuss issues of mutual concern
  • Write and apply for trail approvals on crown land (section 57 FRPA) and liaise with independent trail builders
  • Contact private land owners when there are issues
  • Write grants for trail initiatives, contracts for trail builders, and work with other directors on implementation
  • SORCA representative on the Trail User Group Committee
  • SORCA representative for developers along with other directors
  • Attend exec meetings
  • Provide input for web site when appropriate
  • Participate in every Toonie ride (OK, I made that one up)
